GENERAL INFORMATION

What is the Customer Web Lookup?
The Customer Web Lookup (CWL) is a web-based tool that provides a view of the CAMS Customer Database. Those preparing bills or collection documents use the CWL to determine if the customer referenced on the document exists in CAMS and to obtain the CAMS Customer and Customer Contact Numbers.

Where can I find a detailed reference for using the Customer Web Lookup?

What is the difference between a CAMS Customer and a CAMS Customer Contact?
A CAMS Customer record can have multiple customer contact records. These contacts represent the different mailing addresses for a given customer.

Can you explain the CAMS Customer Number format?
CAMS Customer Numbers include both the Customer Number and the Customer Contact Number. For example, a CAMS Customer Number may look like this: 1047-2. In this case, 1047 represents the Customer Number, and 2 represents the Contact Number.

What is an Invoice Contact and when do I need one?
An Invoice Contact represents the address to which a bill for a given customer should be sent. All customer records should have an Invoice Contact.

What is an Acceptance Contact and when do I need one?
An Acceptance Contact represents the address to which a Reimbursable Agreement Acceptance Notification can be sent. A separate Acceptance Contact is required for all reimbursable agreements. Remember to select the ‘Acceptance’ address type when querying for the customer number.

What is a Financial Reporting Contact and when do I need one?
A Financial Reporting contact represents the address to which a reimbursable financial statement can be sent. Where a reimbursable agreement calls for customer financial statements, a separate Financial Reporting Contact must be created. Remember to select the ‘Financial Report’ address type when querying for the customer number.

What are the rules regarding names in contact records?
Names should not be included in Invoice or Acceptance Contact records. If one appears in a contact record, it is recommended to submit a request to modify the record and have the name removed. There are some exceptions with Acceptance Contacts, however, and it is advisable to work with your Reimbursable Accountant regarding the proper setup. Names can be included in Financial Reporting contact records.

How can I see the entire Customer Web Lookup form?
Verify your computer’s screen resolution is set to 1024 x 768.
From the Start Menu:

  • Select ‘Settings’, then ‘Control Panel’, then double-click on ‘Display’
  • Select the ‘Settings’ tab and verify the screen area is set to 1024 by 768
  • Select ‘Advanced’ button on the bottom right of the ‘Settings’ tab and verify the Font Size is set to ‘Small Fonts’
  • Once applied, the entire Customer Web Lookup form should fit on the screen. You may need to logout of the CWL and login again for the settings to be applied.
  • Please call the CIC at 301-975-5375 if you still unable to view the entire form

How do I obtain access to the Customer Web Lookup?
Every new CWL user must complete a short web-based tutorial in the CAMS Lab and will subsequently be granted a CWL user ID and password. For users that do not have access to any CAMS applications, please submit a *CAMS CFS-GUI access form to MS 3740 in addition to completing the tutorial. For questions, please call the CIC at 301-975-5375.

QUERYING

What are wildcards?
A wildcard symbol (%) is used to search on a wider range of parameters. Placement of the wildcard (%) will directly affect the result of the query. For example, in the customer name field:
  • User may enter ‘univ%’ to query all Customer names that begin with ‘univ’.
  • User may enter ‘%univ’ to query all Customer names that end with ‘univ’.
  • User may enter ‘%univ%’ to query all Customer names that have ‘univ’ anywhere in the name.
What is the most efficient way to execute a query in the CWL?
Below are a few suggested ways to query for different types of customers in the CAMS Customer Database. In each example, the first suggestion is the most specific and will return the fewest results. If the query is unsuccessful, try the second, third, etc. In some cases you can combine a couple of the query suggestions to narrow the results.

In all cases, remember to select the appropriate Addr Type (Invoice, Acceptance, or Financial Report) when querying (the system defaults to ‘Invoice’). You can also select ‘All’ to retrieve records for all address types.

Commercial/Domestic Customers
  1. Query on Tax Identification Number (TIN)- Since TIN is required for all commercial customers; this query will provide you with the most accurate results. Please note that there are some records that lack TIN due to special circumstances and will be addressed as customer data cleanup continues.
  2. Query on customer name using wildcards (%)
  3. Query on zip code using wildcards (%)- Enter the first five digits of the zip code with a wildcard to ensure you find any records in the system with the extended zip code number (e.g. 20899%).
Commercial/Foreign Customer
  1. Query on customer name using wildcards (%)
  2. Query on Country Code- Please see Appendix A for a complete list.
Federal Customer
  1. Query on Agency Location Code (ALC)
  2. Query on DUNS number
  3. Query on Department Code/Trading Partner Code- Please see Appendix B for a complete list.
  4. Query on customer name using wildcards (%)
  5. Query on zip code using wildcards (%)
INTERPRETING QUERY RESULTS

Do you have a question about your query results?
If you are uncertain about any query results and how you should proceed, please contact the Customer Maintenance Technician (CMT) at extension 6836 or via email at CAMSCUST@nist.gov.
What if there are multiple records retrieved which appear to be exactly the same?
In the example below, the first two customers appear to be exactly the same but are listed multiple times. They are the same customer/contact as you can see by looking at the CAMS Cust No. They are listed more than once because the record is associated with more than one Mixed System Code. In this case, this customer was in the old Other Agency LAN system. (SRM, converted Calib, NVLAP and converted Reimbursables are the only systems that use a Mixed System Code)

Query Results


What do I do when I query on TIN and the customer name is different from what I have?
The first step would be to verify with your contact the TIN is correct. This may turn out to be a subsidiary or branch of the same company. If the customer confirms the number is correct and has no knowledge of the customer in our database, please contact the CMT and bring it to their attention.

SUBMITTING A CUSTOMER REQUEST

There are two buttons at the bottom of the Customer Form List to submit my request…which one do I select?
In most cases, select the “Submit a New Request” button to send your request to the CMT. The CMT will then receive your request to 1) create a new customer record, 2) add a contact to an existing customer record, or 3) modify an existing customer/contact record.

If you have previously submitted a request, however, and would like to make a change to that request (e.g. you discovered you made a typing error, had the wrong information, etc.), you should press the “Modify Existing Request” button. This allows you to modify your previously submitted request.

When do I submit a request to CREATE A NEW Customer and NEW Contact?
After querying for the customer and determining that the customer does not exist in the CAMS Customer Database.

When do I submit a request to ADD A CONTACT to an existing customer record?
After determining that the customer exists in the CAMS Customer Database, but that the specific mailing address does not. This will add a new address (contact) to the existing customer record. It is important to verify that the customer name and TIN (for commercial customers) or ALC (for Federal customers) information is accurate.

When do I submit a request to MODIFY a Customer/Contact record?
After determining that the existing information in the CAMS Customer Database is incorrect, incomplete, or needs to be updated. For example, data for that record could have been entered incorrectly, a customer’s address could have changed, etc. In addition, records should be modified if the following situations exist:
  • The Mixed System Code needs to be added to an existing record.
  • There is additional information provided (e.g. TIN, DUNS, phone number, fax number, email, etc.)
  • There is a spelling mistake or typo on the information displayed
  • Formal communication has been received that customer information has changed. Please forward this communication to the CMT.
  • Name needs to be removed from an Invoice Contact.
POTENTIAL Customer Web Lookup ENHANCEMENTS

The CAMS Team and Data Control Group have identified potential areas for enhancement to the Customer Web Lookup in order to improve ease of use, efficiency of processing, and feedback. Though more analysis and discussion are required, possible areas for enhancement include:
  • Automatically populate a submitters email address on form based on CAMS user ID
  • Enhance the Customer Web Lookup to function with multiple screen resolutions
  • Enhance copy-paste functionality
  • Provide upload/download capability
  • Print notes field on form to provide CMT with special instructions
  • Provide Data Control Group Manager with access to CMT’s outgoing email mailbox
  • Alphabetize the query results
  • Continue Customer Database data cleanup effort
  • Include Mixed System Code (detail) in all automated responses
  • Provide columns for date sent and date approved/rejected on the list screen
